Job Description
Project Manager
Sargon is a family-owned company specializing in masonry, stone and steel construction. Sargon Masonry Construction is a full-service land development and commercial masonry contractor specializing in perimeter fencing, retaining walls, masonry structures, entry monuments, footings and many other various design-build retaining wall systems.
The Project Manager will lead Sargon’s Land Development division by managing all phases of awarded contracts, financial reporting, procurement, documentation, and client relations. The Project Manager will directly manage a team to accomplish all divisional objectives and work closely with the Land Development Superintendents to ensure delivery of best-in-class quality, satisfaction, service, and value to our customers. The Land Development Project Manager will be responsible for all phases of 20-30 active jobs. This position reports directly to the Land Development Division Manager and works closely with all Sargon Department Managers.
Primary Scope Responsible For:
Awarded Jobs / Contracts:
Meet with the Estimator of each project for Project Kick-off Meeting
Read and understand the contract for each assigned project within 48 hours following Project Kick-off Meeting
Communicate any identified contract risks discovered, including inclusions, schedule, exclusions, clauses, etc., to Chief Operating Officer and Estimator within 12 hours of discovery and prior to scope execution
Generate RFIs as needed
Ensure that each plan and/or specification revision issued from customer is reviewed and understood
Ensure subcontractors and Sargon field crews are working from the latest set of plans
Hold Production Kick-off Meeting with General Superintendent on each new project
Review scope of work with General Superintendent and Superintendent on new mobilizations to ensure scope creep is not allowed
Subcontractor Agreements:
Draft and submit subcontract agreements based on written proposals from subcontractor
Create purchase order number that subcontract agreements will be tied to and ensure subcontract agreements contain purchase order number
Manage and approve submittals as needed
Organize and Schedule Pre-Construction meeting with all subcontractors and assigned field superintendent
Ensure Job Books are created for each assigned project
Secure Permits as needed
Schedule:
Understand customers’ scheduling needs for the following four weeks on each new project including verbal conversation and obtaining a written schedule as often as the customer updates their schedule.
Add a detailed schedule for all new projects to individual Project Schedule within 48 hours of Project Kick off Meeting - Schedule should include each scope item from start to finish
Update PM Project schedule for all projects weekly (minimum)
Communicate scheduling conflicts with customers within 2 hours of conflict discovery
Attend scheduling meetings as required
Cost:
Review budgets (prepared by Estimator) for each new project within 48 hours of Project Kick-off Meeting
Communicate any identified budget risks discovered to manager and estimator within 12 hours of discovery and prior to scope execution
Create and submit Buyout Budget Form for any necessary budget adjustments
Set-up Schedule of Values on each new project within 72 hours of Project Kick-off Meeting
Review and approve timesheets for employees who have charged time to assigned projects weekly on Fridays by 10am
Manage purchase orders for project-related purchases
Review and sign invoices within 24 hours of receiving for review
Create Change Orders as required
Obtain signed change order before scope execution begins
Email signed customer change order and budget to controller within 24 hours of receiving signed change order and prior to costs incurred for change order scope
Manage change orders directly with customer
Executed Change Orders entered into Spectrum within 48 hours
Create monthly billing for each project
Negotiate billing disputes with customer directly
Enter monthly billings for each project into Spectrum (Schedule of Values into the AIA Form) at least 24 hours prior to billing due date
Attend weekly Revenue Projections meetings
Attend monthly WIP meetings, give input on risks and opportunities on each assigned project
Manage punch list items efficiently and effectively while minimizing costs
Generate close-out documents as needed
Manage warranty items as needed
Update Percent Complete for each project weekly and submit it to Chief Operating Officer
Client Relations
Develop and maintain strong client relationships with a focus on:
Exceptional communication, maintaining positive attitude, constructively sharing your masonry expertise and exceeding client expectations
Participate in industry specific networking events to foster deeper connections with existing and potential clients
Develop client confidence and trust in your abilities and position within Sargon (i.e. clients still looping Manager in to get answers or do they defer to Construction Manager)
Collaborate with internal teams to address client needs or enhance client relations
Act as a point of contact for client complaints and escalate issues as appropriate
Attend onsite meetings with customers as needed
Team Development
Coach, mentor & lead all team members who directly report to you including, but not limited to, bi-annual performance reviews and end-of-year bonus allocation recommendations
Provide staff feedback, direction, guidance to ensure well-motivated workforce and continuous improvement opportunities
In coordination with Human Resources Manager, identify & suggest possible staffing gaps or the need to develop additional positions within your team
Participate in the Sargon Senior Leadership Team meetings and strategic planning meetings
Safety
Lead our safety culture by setting the example as it relates to full PPE compliance, working safely, and planning each work phase with safety as a forethought
Identify safety hazards on project sites and quickly and effectively implement corrective measures
Assist General Superintendent in ensuring crew is wearing proper PPE on each project site
Assist Human Resources & Marketing Managers in uniform distributions to field team
Ensure 811 utility locate requests are made as needed
Ensure all utility companies have responded with markings or “no conflict” notices prior to work start
In cooperation with the Safety Manager, distribute weekly Safety Toolbox Talks materials to team on Thursdays
Ensure dust control logs are maintained and accurate as required by dust permit
Misc:
Hold daily Team huddles, weekly Land Development meetings (as needed) and weekly superintendent team meetings
Return all internal and external messages within 24 hours for standard messages and 2 hours for urgent messages
Other duties as assigned
To Be Successful at This Role, You Will Need:
Minimum 10 years construction experience, at least 3 of those years in Masonry preferred

Must have solid communication, technology, analytical and management skills

Bachelor’s degree preferred, experience considered in lieu of degree
